Koine provides live translation, captions, listener history, notes, Bible verse display where enabled, and AI review features for events. This policy explains what we collect, why we collect it, and how you can control it.
Who is responsible for your data
Koine is operated by Mathias Haughom in Bergen, Norway. For listener accounts, subscriptions, direct support, and Koine's own websites and apps, Mathias Haughom is the data controller. When an organization runs an event and decides why and how event content is processed, that organization may be the data controller and Koine acts as its processor for that content. Information we collect
Account information. If you create or sign in to an account, we collect identifiers such as your email address, display name, authentication provider, and subscription or entitlement state.
Event and session information. We store event codes, selected languages, session settings, attendance claims, timestamps, and service or event titles so listeners can join and later find sessions they attended.
Audio, transcripts, captions, and verses. Live audio is processed to create transcripts, translations, captions, and optional Bible verse suggestions. Recordings and replay files are stored only when the organizer enables recording or replay features.
Listener-created content. Highlights, notes, chat prompts, saved verses, personal photos, generated summaries, question cards, podcast scripts/audio, and AI answers a listener reports for safety review may be stored for the signed-in listener who created them.
Device and app settings. The app uses an app-generated installation identifier, app version, and language or feature preferences to join events, sync requested content, secure sessions, and provide the selected functionality. We do not use Apple's advertising identifier, advertising trackers, or third-party analytics or crash-reporting SDKs.
How we use information
We use data to run live translation, route captions and audio to listeners, sync listener history and notes, provide AI answers and review artifacts, manage subscriptions, prevent abuse, provide support, improve reliability, and comply with legal obligations.
Legal bases
We process account, event, saved-content, and subscription data when necessary to provide the service or perform a contract with you or an organization. We rely on consent for optional sharing of selected content with third-party AI providers and where consent is otherwise required for recordings or similar features. We rely on legitimate interests to secure the service, prevent fraud and abuse, diagnose individual support incidents, and maintain reliability, provided those interests do not override your rights. We process limited records when necessary to comply with tax, accounting, consumer-protection, or other legal obligations.
AI and third-party processors
Depending on the feature, data may be processed by service providers such as Supabase for authentication, database, and storage; Stripe, Apple, and Google Play for billing; OpenAI, Anthropic, Google Gemini, or ElevenLabs for transcription, translation, AI answers, or speech generation; and hosting providers such as Vercel or Railway. We send only the information needed for the selected feature.
Before a listener's selected notes, transcript text, highlights, verses, or questions — or any personal photos a listener takes during a service — are sent to a third-party AI provider (which may describe a photo and generate a numerical embedding so it is searchable alongside notes and verses), the app identifies the possible providers, explains what will be shared, and asks for explicit permission. A photo stays only on the listener's device until this permission is granted. Declining does not prevent joining, listening, taking on-device photos, or using non-AI features. Permission can be withdrawn in Account settings; the app will ask again before a later AI request.
We require service providers that process personal data for Koine to use it only for the agreed service, apply appropriate security and confidentiality, and provide protection consistent with this policy and applicable law.
Listeners can report an AI answer in the app. We retain the reported answer text and limited technical details for safety review, abuse prevention, and service improvement. Reports made while signed in are deleted with the listener account. For reports made without an account, we do not retain event or chat identifiers and replace the app-generated device identifier with a one-way pseudonymous value.
Recordings and retention
Audio recordings are not created by default. Organizers choose whether event transcripts, recordings, and replay access are live-only, temporary, or saved. Saved event content is retained until the organizer deletes it, its configured retention period expires, or it is no longer needed to provide the service. Listener notes, highlights, chats, and review artifacts remain in the listener account until the listener deletes them or deletes the account. Security and support records are kept only for as long as reasonably necessary to resolve the incident, protect the service, or establish legal claims. Transaction and compliance records are kept for the period required by applicable accounting, tax, and consumer law.
Cookies and local storage
Sharing
We do not sell personal information. We share data with service providers only to operate Koine, process payments, provide support, comply with law, or protect the service and its users.
Your choices and account deletion
You can sign out, clear local saved services, delete individual highlights or chats where available, and withdraw AI data-sharing permission in Account settings. In the Koine mobile app, go to Settings, Account settings, then Delete account to delete the account without contacting support. Organizers can delete account data from account settings in the host console. Deleting a listener account removes its profile, saved event claims, highlights, notes, chats, private personal photos, generated review artifacts and audio, billing state, and account-linked safety reports from active systems, except limited information we must keep for legal or financial obligations. App Store or Google Play subscriptions must be cancelled separately in the applicable store account; the app provides a direct subscription-management action.
Your privacy rights
Depending on applicable law, you may ask to access, correct, delete, restrict, or receive a portable copy of your personal data, and you may object to processing based on legitimate interests. Where processing is based on consent, you may withdraw that consent at any time without affecting earlier lawful processing. Send a request to hello@eventtranslation.com. We may need to verify your identity before completing a request.
If you believe your data has been handled unlawfully, please contact us first so we can investigate. You also have the right to complain to the Norwegian Data Protection Authority (Datatilsynet) or your local supervisory authority.
Security
We use access controls, private storage, short-lived recording links, and server-side provider keys. No online service can guarantee perfect security, but we work to keep data protected and limit access to what is needed.
Children and schools
Koine may be used at schools or family events. Organizations are responsible for providing appropriate notices and obtaining any authorization required for children, recordings, replays, and transcripts. Listener accounts and paid Intelligence features should be used only by people who can validly agree to the service or with authorization from a parent, guardian, or responsible organization where required.
International processing
Koine and its providers may process data in Norway, elsewhere in the European Economic Area, and in other countries. When personal data is transferred outside the EEA, we use a lawful transfer mechanism where required, such as an adequacy decision, the European Commission's Standard Contractual Clauses, or another valid safeguard. Organization-specific hosting or transfer commitments are described in the applicable agreement.
